ANDERSON HIGH SCHOOL WATER POLO TEAM BOOSTER CLUB BYLAWS

 

Article I – Name and Organization

The name of this organization shall be the Anderson High School Water Polo Team Booster Club.

 

Article II – Purpose

The purpose of this Booster Club shall be to promote water polo both within the community of Anderson High School and the Austin Independent School District.  The Booster club will abide by the Booster Club Guidelines set by the University Interscholastic League (UIL).  The Booster club shall also raise funds for the benefit of the water polo team.

 

Article III – Membership

Section 1.  Membership shall be open to any person interested in supporting the purpose of the Booster Club.  The membership year shall be December 1st through November 30th.

Section 2.  Dues for this Booster Club vary based on projected expenses. The annual dues for a year shall be set when the budget for that year is approved.

Section 3.  Only members of this Booster Club who have paid dues for the current membership year may participate in the business of the club and be eligible to serve in any elected or appointed position.

Section 4.  Members of this Booster Club agree to help conduct fair and equitable competition:  adhere to rules, uphold the law, and respect our officials, coaches, opponents, guests, and student team members.  Members will support the school regardless of success in competition, keeping the educational goals of competition at the forefront of all policies.

 

Article IV – Meetings

Section 1.  Meetings shall be held as needed and preferably at Anderson High School when possible.  Days and times should be chosen so as to allow maximum participation from all members.  At a minimum, meetings will be held in May and November.

Section 2.  All meetings shall be open to the public.  The principal of Anderson High School shall be invited.

Section 3.  Meeting dates shall be announced at the start of the year and publicized through regular channels.

Section 4.  The quorum for the transaction of business in any Booster Club meeting shall be 7 members.

 

Article V – Officers

Section 1.  The officers of this Booster Club are the President, Vice President, Treasurer, and Secretary.

Section 2.  Officers shall assume their official duties at the start of the membership year and shall serve a term of one (1) year.  The elected officers shall not serve more than two (2) consecutive terms in the same office unless otherwise voted by a majority of the booster members.  One who has served more than one-half (1/2) of a term shall be credited with having served that term.

Section 3.  Nominations and Elections.  Volunteers may be nominated for next year’s open officer positions at any time during the current year.  The election of officers shall be held at the last Booster Club meeting of the year or at the Annual Banquet.

Section 4.  All officer positions not filled by election become vacant.  In the case of a vacancy in the office of president, the vice president shall serve notice to the Booster Club of the election to fill the vacancy of the president and shall conduct the election.  A vacancy in any office other than president shall be filled by an affirmative vote of a majority of the Booster Club members at the next scheduled Booster Club meeting.  In the interim, duties of any vacancy shall be assumed by the officers.

Section 5.  The duties of the officers shall be as follows:

A)   President.  The President shall preside at all meetings and perform any duties necessary toward achieving the Booster Club’s purpose.  The president shall be an ex-officio member of all committees.  The President shall not be involved in the search for or nomination of a President-Elect.

B) Vice President.  The Vice President shall preside at the meetings in the absence of the President and shall serve as an aide to the President.

C) Secretary.  The Secretary shall record, post online, and maintain the minutes of all Booster Club meetings.  The Secretary shall maintain the required documents of this Booster Club including these bylaws, membership rosters (not to be released to outside interests), and any permission forms.

D)   Treasurer.  The Treasurer shall keep the financial records of the club, develop and present a budget for the upcoming year pending approval of the members by the last meeting of the year, and work with the school bookkeeper to maintain thorough and accurate records of all receipts and expenditures.  The Treasurer shall present a written and verbal financial report at all Booster Club meetings and present a preliminary annual report, i.e. budget to actual, at the last meeting.

Article VI – Committees

Section 1.  The officers may create such standing and special committees as they deem necessary to promote the purposes of the Booster Club.  The President shall be an ex-officio member of all committees except any committees created to reconcile financials or nominate officers.  Per UIL Guidelines, the Booster Club will follow Anderson High School’s approval process before starting projects, including fundraising projects.

Section 2.  Committee Chairs shall assume their official duties following the close of the prior year and shall serve a term of one (1) year.  At the end of the term, Chairs will deliver to their successors or the president all committee materials and notes.

Section 3. Committee Chairs will need to submit a plan of work to the officers either written (email) or verbally at a Booster Club meeting.

 

Article VII – Amendments

Amendments to or revisions of the Bylaws may be made at any regular meeting of the club, provided a quorum is present, by two-thirds (2/3) vote of the members present and voting.  Notice of each proposed amendment shall be provided to the membership through regular publicity channels thirty (30) days prior to the meeting at which the amendment is voted upon or at the previous regular meeting.
